Sales Coordinator plays a pivotal support role in the Sales & Marketing department of the resort. This position is responsible for coordinating sales-related activities, maintaining client records, preparing proposals and contracts, and ensuring smooth communication between the sales team and clients.
The ideal candidate is detail-oriented, well-organized, and passionate about luxury hospitality.
Duties and Responsibilities:
Manage and coordinate the DOSM's daily schedule, appointments, and meetings
Support DOSM with administrative and sales tasks.
Respond promptly to guest and client inquiries via email, phone, or in-person.
Prepare reports, presentations, and meeting agendas; take minutes and follow up on action points
Maintain and update client databases, control Sales Kit & giveaway inventory
Coordinate all aspects of the DOSM's business trips, including flight bookings, ground transportation, visa arrangements, accommodation, travel insurance, and meeting schedules.
Assist in organizing promotional events and trade shows. Site inspections in the property incase of Sales team busy.
Follow up on leads and maintain communication with potential and existing clients.
Liaise with other departments (e.g., Front Office, F&BS, Reservations,...) to ensure seamless execution of group bookings and events.
Ensure all contracts and paperwork are properly filed and compliant with resort policies.
Prepare weekly and monthly sales reports. Make minutes of all meeting done with DOSM
Ensure all sales materials and collateral are updated and aligned with brand standards.
Handle confidential information with integrity and professionalism.
Duty Roster, Purchase Order processing, Booking entertainment and internal meeting room
Make HR roaster on the system and coordinate with the team on maintaining SOP.
